Putting prices aside for the moment, the eTrack model is based on a) everyone having their own login and b) all staff being able to be logged in at the same time.
a) Having their own login means the timesheet defaults to them, progress notes are auto inserted with their name and everything they do is audit trailed etc.
b) Having everyone log in at the same time (ie not concurrent that means having to log out to free up the licence) will encourage use by staff to not keep their own contact lists, update timesheets and progress notes as they go and really embrace it as they companion.
So, yes, each person needs a licence and a login.
*However* if someone leaves, click “Clear Logon” button and the licence is freed up for someone else to use (help About shows how many you have used).
Then for the new person, click New Login and enter a username and password. There is no limit to the number of people in the database without a login and for data integrity reasons no one is deleted.
If you have part time staff, or greater numbers at certain times of the year, I am happy to discuss “Full Time Equivalent” licence prices.
